About Imagine Y
The “Imagine Y(our) - SPACE for Learning, Engagement, and Business” project aims to foster both physical and online engagement to strengthen the self-organization and confidence of Belarusian youth and young adults in Belarus and abroad.
A core component of the online educational activities is the Online Camps, led by young leaders who have been trained to develop their own camps and digital communities. These camps provide outreach to a broader youth audience, connecting participants from diverse regions, including remote areas. The camps cover a wide range of topics, from social and ecological sustainability, equality, and diversity to practical subjects like digitalization and language skills.
To date, 5 Online Camps have been successfully implemented, providing a space for youth to practice self-organization and leadership while exploring topics relevant to modern society. Over the next three months, the second wave of 5 additional camps will be launched, further expanding the program’s reach and impact.
This tender is designed to hire a graphic recorder for the visual documentation of the project's educational activities and the process of organizing camps.

1. Description:
- The purpose of this tender is to create 10 graphic recordings reflecting camp themes, key moments, outcomes, and anonymized information about camp leaders and their personal achievements. Additionally, 1 graphic recording will document the process of organizing camps, serving as a guide for those planning future camps. Each graphic recording should be available in Russian/Belarusian; possibly also in English.
- The recordings should be based on qualitative interviews with camp leaders, participant feedback, camp recordings, live participation in ongoing camps, chat histories, and other sources provided by Goethe-Institut.
- The recordings must visually demonstrate a connection to the Imagine Y project while maintaining the uniqueness of each camp. These recordings will serve as a tool for safely presenting the camps in public forums and as part of the camp leaders’ professional portfolios.
2. Goals and Objectives:
- Reflect the key moments of each camp in a structured graphic format.
- An anonymized profile of the camp leader, including their goals and personal achievements in the framework of program.
- Ideas and projects that emerged during the camps or other qualitative outcomes (e.g., changes experienced during the camp).
- Main outcomes (quantitative indicators, number of participants, geography, projects).
- Feedback and conclusions based on the participants’ experiences.
- Demonstrate a connection with the Imagine Y project.
- Ensure data safety.
3. Scope and Format:
The project involves creating 10 unique graphic recordings, each reflecting the story of a specific camp, and 1 graphic recording as a guide for organizing camps. Each graphic recording should be available in Russian/Belarusian; possibly also in English.
Each graphic recording should include:
- An anonymized profile of the camp leader: brief info (nickname, age, occupation, personal goals, and achieving).
- Ideas and projects: a section displaying the ideas and projects that emerged during the camp.
- Results and achievements: quantitative and qualitative indicators (number of participants, projects, changes).
- Feedback: short participant feedback. The work should be presented in digital format, suitable for printing in A3 size. The recordings should be provided in digital formats (PDF, JPEG, PNG) for online resources and print.
- Size: A3 format for printing, adaptable for use in social media and Goethe-Institut website (2300x1000 and 1200x1200)
- Language: Russian/Belarusian and English
- The graphic recordings must include logos of the European Union, Goethe-Institut, and Imagine Y.
- There should be a visual reference to the Imagine Y project (official colors, fonts).
4. Project Stages:
- Propose stylistic solutions and create a template to ensure all necessary information is included.
- Gather information through interviews with camp leaders
- Study the camp materials provided by the Goethe-Institut (camp programs, participant feedback, content materials, recordings, chat access, or participation in ongoing camps).
- Create each graphic recording to vary slightly in format to maintain visual interest and prevent reader fatigue from repetitive layouts.
- Gather feedback from the client and if needed make necessary revisions.
- Deliver the final materials in digital format.
5. Suitability Criteria:
- Proven experience in creating graphic recordings for educational or similar contexts
- Proficiency in Russian/Belarusian and English
- Preliminary Sketch that outlines the possible structure of the graphic recording for the Online Camp
6. Award Criteria:
- Experience working with social and educational projects
- Aesthetic quality of the portfolio
- Cost-Effectiveness
- Preliminary Sketch demonstrates the approach to visualizing key expected elements.
7. Budget and Deadlines:
- Budget: Tender participants must submit their financial proposals.
- Deadline: First draft by October 20
- Revision: November 11
- Final work must be completed by December 8, 2024.
8. Submission Requirements:
- CV or resume for the candidate or team, detailing relevant experience qualifications, and skills related to graphic recording
- Portfolio showcasing examples of graphic recordings from educational or similar projects
- Example for the structure of the graphic recordings.
- Total cost for the work.
