About the Project

Dreaming New Worlds is a Pan-African art and science collaboration project fostering cross-disciplinary practice rooted in criticality, indigenous knowledge systems, and the contemporary landscape of art, technology, and digital humanities. In 2026, the project expands with a network of nodes across twelve African countries.

Under the theme Codes of Conduct, the project explores how technology is reshaping leadership, belonging, and organization in African technological societies. Each node produces multidisciplinary fellows as collectives, an intensive month-long lab, and public programmes.

Role Overview

We are seeking a highly organized and collaborative Project Assistant to support the overall coordination and administration of Dreaming New Worlds 2026 across all four nodes. Based at the Institut in Lagos, the Project Assistant will work directly alongside the Project Lead, serving as a central operational hub for the entire Pan-African project network.

Key Responsibilities

Budget Administration

  • Assist in the administration and tracking of the project budget across all nodes
  • Process invoices, expense claims, and procurement in line with organizational policy
  • Maintain accurate financial records and support the preparation of financial reports for internal and funder use
  • Flag budget variances and support the Project Lead in financial decision-making
Multi-Node Coordination & Stakeholder Liaison
  • Serve as a point of contact between the Project Lead and node partners, fellows, facilitators, and collaborators across the participating countries.
  • Coordinate regular communications across the node network to ensure alignment, information sharing, and timely delivery of activities
  • Support the scheduling and preparation of cross-node meetings, virtual exchanges, and collaborative planning sessions
  • Maintain and manage a stakeholder database covering all nodes
Project Administration
  • Track deliverables, timelines, and activity milestones across all nodes, flagging risks or delays to the Project Lead
  • Maintain comprehensive project documentation including activity logs, reporting materials, and correspondence
  • Support the logistics of key project activities including the Dreaming New Worlds Labs, public programmes, fellows coordination, and exhibition planning
  • Assist in the preparation of progress reports for relevant stakeholders

Qualifications and Experience

  • A degree or equivalent qualification in arts administration, cultural management, project management, or a related field
  • At least 5-10 years of experience in a project coordination or administrative role, preferably within the cultural, creative, or development sectors
  • Demonstrable experience managing or tracking budgets
  • Experience working across multiple stakeholders or geographies is a strong advantage
  • Excellent written and verbal communication skills in English; proficiency in French and other additional African languages is a plus
  • Familiarity with the African contemporary arts, technology, or cultural sector

Skills and Attributes

  • Exceptionally organized, with the ability to manage multiple workstreams and deadlines simultaneously
  • Strong interpersonal skills and confidence in liaising with diverse institutional and community partners across different countries
  • Proactive, solutions-oriented, and comfortable working with a degree of autonomy
  • Discreet and professional in handling sensitive financial and organizational information
  • Proficient in standard productivity and collaboration tools (Microsoft Office, Teams, Web management, CMS, project management tools, etc.)
