ADMINISTRATIVE ASSISTANT (50%) AND IT (50%)
STARTING 1 JULY 2026 | PART-TIME OR FULL-TIME | SAUDI NATIONALS ONLY
In this position, you will play an important role within a dedicated team at the Goethe-Institut Saudi Arabia and contribute your experience in administrative management and IT administration.
Your responsibilities
Administration
- Maintain relations with local authorities and ensure that all government licences required by the Goethe-Institut are in place and renewed on time when necessary.
- Prepare and submit applications for work and residence permits and handle visa matters for guests in coordination with the German Embassy.
- Manage local service providers and, in coordination with the Head of Administration, oversee procurement processes and ensure compliance with the relevant regulations.
- Monitor rental, purchasing, leasing, insurance and other contracts in coordination with the Head of Administration.
- Implement and manage security measures and handle crisis-related matters in close cooperation with the German Embassy. You will also monitor compliance with the security regulations of the host country.
- Manage the institute’s premises in coordination with the Head of Administration and the Institute Director. This includes building maintenance, construction measures, repairs and institute equipment, including procurement, inventory management and disposal.
- Lead the project for the rental or acquisition of new premises in coordination with the Institute Director and the Head of Administration. This includes feasibility and cost-effectiveness assessments, procurement procedures and the supervision of construction measures.
- Serve as the first point of contact for IT users and support them with technical questions and disruptions.
- Install and configure software and connect and commission hardware at employees’ workstations.
- Coordinate communication with the IT help desk and external IT service providers.
- Support the devices and systems used in classrooms, particularly smartboards, teachers’ computers, iPads, iPad cases and hybrid learning environments.
- Independently manage the network and IT infrastructure, including switches, LAN cabling, wireless access points, firewalls, connections, servers and local network components.
- Maintain the IT inventory and arrange the procurement of hardware and software licences.
- A completed university degree, preferably in business administration, or equivalent knowledge and skills
- Professional experience in administration and IT
- Good IT skills, particularly in Microsoft Office, and the ability and willingness to quickly become familiar with relevant software and internal systems
- Excellent Arabic skills and native-level or equivalent written and spoken German or English, or a willingness to develop German-language skills up to C1 level
- Knowledge of the legal structures and administrative framework in Saudi Arabia, or a willingness to acquire this knowledge
- Strong social and intercultural skills as well as excellent teamwork and communication abilities
- The ability to work effectively under pressure and a high level of resilience
- Saudi nationality
- Part-time or full-time employment based on a local employment contract
