The Africa-Europe Partnerships for Culture (AEPC) are looking for an Operations Officer in Johannesburg on a full-time basis. The position supports the EU Project Office at the Goethe-Institut Johannesburg.

The AEPC Office at the Goethe-Institut in Johannesburg regulates the work in the Sub-Saharan countries. Its activities in this region have a special focus on strengthening the pan-African dialogue, and on promoting mobile access to information and education. KEY RESPONSIBILITIES

Office Management
  • Develop solution-oriented processes for project office management to ensure smooth day-to-day office operations for staff and guests
  • Develop processes and tools for administrative tasks for the project team, such as travel requests and leave requests by the team
  • Develop processes for office purchasing and maintaining office equipment. Monitor and improve processes if needed
  • Develop holistic structure and implementation plan for meetings and events, including logistics. Monitor structures and make suggestions for improvements if needs be
  • Manage travel arrangements for internal staff as well as accommodation and logistics for external guests
  • Coordinate maintenance of the office with landlord, ensure smooth implementation without the interruption of day-to-day office operations
Service Provider Management
  • Develop processes and tools for engagement with external service providers, including international providers. Ensure smooth processing at customs.
  • Prepare and initiate payment processes of external service providers
  • Monitor and improve processes where needed
Event Management
  • Coordinate different stakeholders in the preparation of events and meetings independently as well as in collaboration with the project team
  • Ensure holistic and smooth logistical arrangements and on-site setup
  • Prepare and initiate payment processes of external service providers
Implementation of Health and Safety Measures
  • Implement and monitoring of existing health and safety procedures
  • Design and conduct internal briefings and documentation related to health and safety

REQUIREMENTS

  • Education
  • Relevant educational background (e.g. business administration, office management or similar)
  • Experience
  • Previous experience in administrative support, office management or a similar role is required. 
  • Experience in coordinating activities in an international project environment is desirable.
  • Skills
  • Strong organizational and coordination skills 
  • Ability to work independently and manage multiple tasks 
  • Reliable, structured, and detail-oriented way of working 
  • Good communication and teamwork skills
  • Additional Requirements
  • Willingness to occasionally support events outside regular working hours 
  • Valid work permit for South Africa 
  • No criminal record
