Project Assistant – Vocational School Cooperation
STARTING DATE: April 1, 2026

The Goethe‑Institut is the cultural institute of the Federal Republic of Germany, active worldwide. We promote knowledge of the German language abroad and foster international cultural cooperation. In addition, we convey a comprehensive image of Germany by providing information about cultural, social, and political life.The Goethe‑Institut Ho Chi Minh City is looking for a Project Assistant for its cooperation with local vocational colleges in collaboration with GIZ (Deutsche Gesellschaft für Internationale Zusammenarbeit), starting on April 1, 2026, for a minimum period of 18 months. The position comprises 20 hours per week.
ABOUT THE PROJECT:
The project supports selected Vietnamese vocational colleges in integrating German permanently into their training programs, thereby creating fair and transparent pathways for qualified migration to Germany. German teachers are trained directly at the partner colleges, and the institutions—supported by the Goethe‑Institut—build their own language programs up to level B1.
The goal is to establish sustainable structures that enable the colleges to continue offering German courses independently after the project ends and to prepare students linguistically and culturally for vocational training or employment in Germany.
TASKS INCLUDE:
- Financial Planning & Administration
- Preparing, updating, and submitting the financial requirements plan in accordance with GIZ guidelines, in coordination with project management
- Completing funding request forms within the Grant Agreement
- Preparing project-related financial reports, including cost breakdowns by budget line (in close coordination with project management)
- Documentation & Project Filing
- Collecting, reviewing, and systematically filing receipts, invoices, contracts, and project documents
- Documentation in line with GIZ specifications and internal requirements
- Managing records related to onward transfers/third‑party funds, including proof and documentation of co‑financing
- Procurements According to GIZ Rules
- Carrying out procurements in accordance with GIZ regulations
- Ensuring complete documentation of relevant tendering and procurement documents
- Administrative Support at Partner Vocational Colleges
- Supporting the planning and implementation of examinations
- Assisting with maintenance and replenishment of equipment, teaching materials, and consumables
- Conducting and evaluating the KTN evaluations after each language level
- Collecting relevant teaching data to support the preparation of instructor payment processing by the language course office
- General Support for Project Management
- Completed university degree
- Experience in administrative project work, ideally in cooperation with donors such as GIZ
- Basic knowledge of budget management, funding requests, and documentation
- Experience with administrative documentation following formal requirements (receipts, contracts, filing)
- Experience in reporting (narrative and financial reports, proof of use) and ideally in procurement and tender processes
- Vietnamese as a native language and good written and spoken German and/or English
- Confident use of Microsoft Office applications
- Strong organizational skills, accuracy, and a structured working style
- Strong communication skills in interactions with teachers, project management, and external partners
- Knowledge of the education or course administration sector is an advantage
- Work in an internationally oriented environment
