Head of Administration (M/F/D)

Key responsibilities:

  • Finance: Contribution to the preparation of the institute’s annual planning as well as to the planning and monitoring of the budget in cooperation with the Institute Management and the regional institute. Responsible for reconciliations, cash management and cash audits, accounting, and the preparation of annual and interim financial statements.
  • Accounting: Oversight of cash management, payment transactions and proper accounting in SAP in accordance with the German Commercial Code (HGB).
  • Human Resources: Responsible for personnel administration, including monthly payroll processing, in line with local employment, tax and social security regulations in London. Contribution to the planning and management of human resources at the institute, involvement in recruitment and further HR measures, employment contracts and remuneration structures. Responsible for staff management and deployment within the administrative department.
  • Organisation and Reporting: Support of the Institute Management in the proper handling and implementation of reporting procedures. Organisation of internal workflows at the institute.
  • Legal and (Occupational) Safety: Monitoring compliance with local safety regulations (in particular Health and Safety), rental, purchase, leasing and insurance contracts. Contribution to the handling of status matters and to employment law issues in coordination with the Institute Management.
  • Property and Procurement: Responsible for property matters, including (where applicable) construction measures, equipment, inventory management and disposal. Responsible for contracts in general and point of contact for procurement procedures, procurement regulations and compliance guidelines of the Goethe-Institut, as well as for the coordination, organisation and optimisation of all internal processes.

Requirements:

  • Relevant professional experience in administration
  • Completed academic degree (e.g. Business Administration) or comparable qualification
  • Excellent written and spoken German and English
  • Confident use of Microsoft 365; user knowledge of SAP desirable
  • Strong organisational and management skills
  • High level of social and intercultural competence, team orientation and communication skills
  • Ability to work under pressure
  • Willingness to expand professional knowledge (internal planning and management instruments of the Goethe-Institut)

We offer: 

This is a full-time position with a workload of 39 hours per week. The position is remunerated in accordance with the current pay scale for locally employed staff of the Goethe-Institutes in the United Kingdom. The starting salary is in the range of £44,088.48 – £46,773.48 per annum, depending on professional experience. Annual leave amounts to 26 days plus public holidays. The Goethe-Institut London offers a contributory private pension scheme and organises training opportunities to support personal and professional development.
