Administrative Officer

The Goethe-Institut Los Angeles is seeking to hire an Administrative Officer for a full time position, 40 hrs. / week. 

Responsibilities :

Management and Controlling of the Budget in close cooperation with the director and the departments of the Institut
Preparation of controlling and expense reports and participation in budget controlling
Provide data collections and surveys to the head office
Process invoices and transmit all required documents to the booking center in WDC
Handle and process cash payments of the Institut in SAP
Process all travel expenses
Property management,
Contract negotiations with suppliers
Procurement and Inventory Management
Establish and maintain contacts with the Press and the corresponding database
Editing and processing of Press Releases
Compilation of press echoes regarding cultural events of the Goethe-Institut
Development of PR materials with the Program Department
Editing graphic design of print and WEB materials
Maintaining email lists of the program department
Implementation of the corporate design of the Goethe-Institut
Cooperation with PR Agencies
Reception of visitors and guests of the Goethe-Institut
Office organization and calendar management
Forwarding of incoming and outbound phone calls
Supplying information about the activities of the institute, both oral and written
Point of reference for questions regarding internships
Administration and updating of the central address database of the Institut
Participation in the preparation and distribution of the weekly/monthly newsletter of the Institut
Assisting with the organization as well as public relations work of events in close coordination with the program department
Coordination and booking of business travel arrangements and reservations
Communication and handling of incoming/outgoing correspondence in German and English
Preparation of staff meetings and meetings with partners


Sound basic knowledge of operating systems Windows 2010
Very good knowledge of MS-Office (esp. Excel), Photoshop skills
Sound knowledge of relevant guidelines and regulations regarding travel expenses / or willingness to acquire this knowledge
Basic knowledge of the Goethe-Institut’s planning and management tools or willingness to acquire this knowledge
Basic knowledge of SAP or willingness to acquire this knowledge
Excellent organizational and communication skills
Excellent German and English language skills


Employment: full-time, beginning May 1st, 2018
Compensation: 48,000 USD
